Configure Admins 🔐

What you'll learn: How to grant and revoke admin access to Ava so others can help manage your team's celebration settings.


Why Add More Admins?

Sharing admin responsibilities is a good idea when:

  • You have an HR manager who should oversee team data
  • You're a team lead who wants another person to back you up
  • You're leaving the team or changing roles and need to hand off admin duties
  • Your organisation has multiple teams or departments using Ava

Note: At least one admin at all times

Ava requires at least one active admin. You cannot remove yourself as admin if you're the only one. Add another admin first before stepping down.


Granting Admin Access

  1. Open Ava in Microsoft Teams.
  2. From the main menu, click Configure next to Configure Admins.
  3. Select your team from the dropdown and click Submit.
  4. Ava shows a Select Admins multi-select dropdown with all team members listed.
  5. Select one or more people to grant admin access to.
  6. Click Submit.

Ava will notify the newly added admins that they now have admin access.


Viewing Current Admins

The Configure Admins screen shows a list of all current admins for the selected team.


Revoking Admin Access

  1. In the Configure Admins list, find the admin you want to demote.
  2. Click the ... (more options) button next to their name.
  3. Select Remove Admin Access.
  4. Confirm the action.

The person will receive a Teams notification letting them know their admin access has been removed. They will revert to a regular User.

Warning: This is immediate

Revoking access takes effect immediately. The person will no longer be able to access admin features as soon as you confirm.


Admin Access Scenarios

Handing off to a new admin before you leave

  1. Add the new admin first (steps above).
  2. Brief them on current settings and how the system works.
  3. Ask them to confirm they have access and can see the admin menu.
  4. Have them revoke your access, or revoke it yourself.

An admin leaves the company

When someone leaves your organisation, their Microsoft account will typically be deactivated by IT. Ava will automatically flag inactive admin accounts in the Configure Admins screen. It's still good practice to remove them manually for hygiene.
